🇩🇪 Hotel booking for a Germany Schengen visa

Yes — the checklists published by German missions list proof of accommodation as its own required document, worded as "hotel reservations, rental of holiday home or campus residence reservation", or, if you are staying with family or friends, proof of private accommodation from the host. A QR-verifiable hotel booking confirmation for your exact dates satisfies this — emailed as a PDF in under 60 seconds.

Germany decides Schengen applications at the embassy or consulate general whose jurisdiction covers your place of residence — in India, for instance, a file handed in at any VFS Global centre is forwarded to the Consulate General in Mumbai, which takes the decision. Unlike France, Germany runs no single national application website for short stays: the form is completed in VIDEX, the Federal Foreign Office's own web tool, then printed with all its barcode pages and signed by hand. Whether you submit it at an external service provider's centre or directly at the mission depends entirely on which country you apply from.

Does Germany require proof of accommodation?

Yes — the checklists published by German missions list proof of accommodation as its own required document, worded as "hotel reservations, rental of holiday home or campus residence reservation", or, if you are staying with family or friends, proof of private accommodation from the host.

What the consulate expects

Germany does not use one global vendor: submission is outsourced to VFS Global across much of Asia and the Gulf, to BLS International for residents of the United States and Mexico — the Federal Foreign Office states that in the US the German missions cooperate only with BLS, with the Consulate General in Atlanta as the exception — and to iDATA in Türkiye or Visametric in parts of the Caucasus and Western Balkans, while applicants elsewhere deal with the German mission directly. Confirm the provider on your own German mission's website before booking anything: these companies only accept and forward files, the German missions state plainly that the provider has no influence on the decision, and in Türkiye the appointment is issued through the German missions' own chronological waiting list before iDATA assigns the actual date.

The confirmation shows the property's name and full street address in Germany, the guest name exactly as it is printed in the passport, and check-in and check-out dates that match the travel dates entered on the VIDEX form — which is what the accommodation line of the German checklist is asking you to establish. Missions do check reservations, and a booking that turns out to be fabricated or was never held is grounds for refusal, so use a reservation you can actually stand behind.

Typical documents for a Germany Schengen visa

Applications for a Germany Schengen visa commonly include:

  • Schengen application form completed on the VIDEX website, printed in full including every barcode page and signed by hand — German missions state that "blank or handwritten application forms cannot be accepted" — together with the signed declaration of true and complete information and, where the mission requires it, the signed declaration on holding valid medical insurance
  • Passport issued within the last ten years, valid at least three months beyond the planned departure from the Schengen area and containing at least two blank pages, plus A4 copies of the biometric data page and the address page
  • One recent biometric passport photograph, 35 x 45 mm, white background, face covering roughly 70-80% of the frame and not older than six months
  • Travel medical insurance valid in all Schengen states for the entire duration of the trip, with minimum medical cover of EUR 30,000 — some missions, India among them, accept policies only from an approved list of insurers
  • Proof of accommodation for the whole stay: hotel reservation, rental of a holiday home or campus residence booking — or, for a private stay, the host's proof of private accommodation with their signature, address proof and passport or German ID copy. Travelling to several Schengen states means accommodation proof for each of them
  • Evidence of the trip and of funds: a personal covering letter with the itinerary, a flight reservation, and proof of your own economic position — payslips and three months of bank statements, or ITR/Form 16, pension or enrolment proof as applicable. A host who is covering your costs can instead obtain a Verpflichtungserklärung under sections 66 to 68 of the Residence Act, but you are normally still asked to document your own situation

Frequently asked questions

Which company actually handles German Schengen visa applications?
It depends on where you live, and it is not VFS everywhere. VFS Global runs the German visa application centres across much of Asia and the Gulf, including India, China, Malaysia, the Philippines and the United Arab Emirates. BLS International handles residents of the United States and Mexico — the Federal Foreign Office states the German missions cooperate only with BLS in the US, with the Consulate General in Atlanta excepted, and in Mexico applications go to BLS in Mexico City or Monterrey rather than to the embassy. In Türkiye the provider is iDATA; in Azerbaijan, Bosnia and Herzegovina and Kosovo the German missions name Visametric. Elsewhere in the Caucasus, Central Asia and the Western Balkans the work is split between those two, so check the website of the German mission covering your place of residence rather than assuming. Wherever you apply, the provider only collects and forwards the file — German missions state the provider has no influence on the decision, which is taken by the mission alone.
Can I submit a German Schengen visa application online?
No. Germany's Consular Services Portal handles national long-stay visas for around 28 purposes such as work, study and family reunification, but the Federal Foreign Office states that "applications for Schengen visas cannot yet be accepted online". For a short stay you fill the form in on VIDEX, print it with its barcodes, sign it, and appear in person to give fingerprints and hand over the documents.
How early should I apply, and how long does it take?
Applications can be lodged from six months before the intended travel date — that window is set by the Schengen Visa Code and applies wherever you apply. The German missions in India ask that you apply no later than 15 working days before departure and state that applications are processed within 15 working days from the day they arrive at the visa section. That clock does not start at the VFS counter: the same missions warn that getting a file from a VFS centre to the deciding consulate in Mumbai "might take up to SIX working days depending on the delivery conditions and public holidays", so build that transit in on top of the processing time. Deadlines differ by mission — check the checklist for the country you apply from.
I am staying with friends in Germany — do I still need a hotel booking?
Not for the nights you spend with them, but the private stay has to be documented instead. German checklists ask for proof of private accommodation from the host with their signature, their address proof, and a copy of their passport or German ID card. A Verpflichtungserklärung — the formal obligation declaration under sections 66 to 68 of the Residence Act — is a separate matter: the Federal Foreign Office describes it as the route for cases where the visitor cannot finance the stay from their own means, so it is not automatically required just because you are staying privately. Where one is used, the host obtains it from the Ausländerbehörde in their own place of residence, not from the consulate, it covers accommodation and living costs including medical and nursing care, and it is generally valid for six months. If only part of your trip is private, the remaining nights still need their own accommodation proof, and if you visit several Schengen states you need accommodation evidence for each of them.
