Austria Schengen visa

🇦🇹 Hotel booking for a Austria Schengen visa

Yes — Austria's consular checklists list proof of accommodation among the standard documents, and where you are staying privately rather than in a hotel the checklist substitutes a copy of the host's "Meldezettel", a signed invitation letter and a passport copy of the tenant or owner. A QR-verifiable hotel booking confirmation for your exact dates satisfies this — emailed as a PDF in under 60 seconds.

Austria decides Schengen visa applications at its own embassies and consulates general, but its consular network is small, so the Austrian post competent for your country may sit in a neighbouring one — and in a number of countries Austria does not appear at all, because another Schengen state takes its applications under a representation agreement. Where Austria does have a post, the counter work is usually contracted to VFS Global, though some embassies still take applications directly by appointment (Pretoria, for example, accepts them at the embassy with a prior online booking as well as through VFS). Austria is only competent for your file if it is your main destination, judged by the purpose of the journey and where you spend the longest, and applications are accepted no earlier than six months and no later than 15 calendar days before travel.

What the consulate expects

VFS Global runs Austria's visa application centres across much of the network — the UK (London, Manchester and Edinburgh), the United States, India, Türkiye, and southern Africa, where the Austrian Embassy in Pretoria takes applications through VFS centres in Pretoria, Johannesburg, Cape Town and Durban plus Harare, Gaborone and Windhoek. Appointments and biometrics happen at the centre; the consular officers still examine and decide the file, and VFS charges its own service fee on top of the visa fee. Where Austria has no mission of its own, the representing Schengen state's arrangements apply instead: in Tajikistan, Austria's applications go through the German representation's provider VisaMetric, not VFS.

The confirmation shows the hotel's name, address and telephone number, a guest name matching your passport, and check-in and check-out dates that line up with the entry and exit dates on your transport bookings and application form — and it is a genuine reservation the hotel would confirm if the consulate telephoned.

Typical documents for a Austria Schengen visa

Applications for a Austria Schengen visa commonly include:

  • Completed and signed Schengen visa application form with one recent photograph to ICAO standard (35 x 45 mm), taken within the last three months
  • Passport issued within the last ten years, valid at least three months beyond your intended departure from the Schengen area and with at least two blank pages, plus a copy of the bio-data page, proof that you are lawfully resident in the country where you are applying, and copies of any Schengen visas issued in the last three years
  • Travel medical insurance valid for all Schengen countries for the full duration of the stay, minimum EUR 30,000, including repatriation — and, in Austria's own words, "when travelling between November and April winter sport must be included"
  • Proof of accommodation in Austria; if staying in private accommodation, a "copy of the Meldezettel, signed invitation letter and passport copy of the tenant/owner"
  • Confirmed transport bookings showing entry to and exit from the Schengen area, and travel between Schengen states where relevant
  • Proof of sufficient means of subsistence for the stay and the return journey — bank statements covering the last three months, an employer's letter with payslips or, for the self-employed, a letter from an accountant or bank; where an Austrian sponsor is covering costs, the reference number of their electronic declaration of commitment (EVE)

Frequently asked questions

Does Austria require the hotel booking to be paid for in advance?
Austria's published checklists ask for proof of accommodation and do not state that the booking must be prepaid or non-refundable. What they expect is a genuine confirmed reservation covering your nights in Austria, with the hotel identifiable and contactable. Individual posts and the country-specific checklists issued through the application centres sometimes add stricter local wording, so read the checklist for the post you are actually applying to before you book. Assume any consulate can and sometimes does verify a reservation directly with the hotel.
I'm staying with family or friends in Austria — do I still need a hotel booking?
No. Austria's checklist gives an explicit alternative for private accommodation: a copy of the host's "Meldezettel" (their Austrian registration slip), a signed invitation letter, and a copy of the passport of the tenant or owner of the property. If the host is also covering your costs, the consulate may additionally ask for an electronic declaration of commitment, the EVE. If your itinerary mixes both — a few nights with family and a few nights in a hotel — cover the hotel nights with a booking and the private nights with the Meldezettel package.
What is the EVE, and how long does it take?
The EVE, or Elektronische Verpflichtungserklärung, is Austria's electronic declaration of commitment: a sponsor in Austria formally undertakes to cover the costs arising from your stay. It cannot be downloaded or posted — the form exists only at the authority, so the sponsor has to appear in person at the Landespolizeidirektion responsible for their registered address, usually by appointment. It is free of charge, and the sponsor is issued an identification number. You quote that number and the Austrian representation retrieves the declaration electronically. The visa application can be lodged at the earliest 48 hours after the EVE is filed, so build that gap into your appointment date. Important: Austrian guidance states that where Austria is represented by another Schengen state's mission, the EVE route is in principle not available — check with the competent Austrian mission before sending a sponsor to file one.
There is no Austrian embassy in my country — where do I apply?
Austria's foreign ministry publishes a table of the Schengen partners that represent it. Germany represents Austria in places including Belarus, Cambodia, Ecuador, Laos, Myanmar, Tajikistan, Turkmenistan, Zambia and Toronto; France in Bahrain, Bangladesh, Madagascar, Mauritius and several African states; Spain in Bolivia, Costa Rica, Panama, Paraguay and Uruguay; Portugal in Angola, Cape Verde, Macau and Vancouver; Switzerland in Kosovo and the Dominican Republic; Hungary in Kazakhstan (Almaty) and Moldova; with Belgium, the Netherlands and Norway covering further countries. Three things follow: proceedings at a representing post run under that state's rules, checklists, appointment system and service provider, which may not be VFS; representation under the Visa Code covers the short-stay Schengen visa, so a long-stay D or employment file is a matter for the competent Austrian mission; and the EVE sponsorship route is generally unavailable at a representing post.
